Toolbar Components:
The toolbar default undocked view is shown above, if you have the toolbar
docked then the window title and close icon would not be visible.
In this view the toolbar is broken up into 5 visible buttons which, from the
left are:
- The "Title" Button
- The "Is SPAM" Button
- The "Not SPAM" Button
- The "Statistics" Button
- The "Extras" Button
The Title Button
This button provides access to the "Preferences" for the toolbar.
Clicking this button will show the options available for the toolbar. Depending
on the version of the toolbar running (Community or Professional),
certain options may not be available. For a full list of the version specific
functionality please see the Functionality Table.
For Outlook installations that have a complex folder structure the Preferences
window might take a few moments to display.
The Is SPAM Button
This button allows the highlighted mail message that had not been detected as SPAM by any
of the existing checks to be marked as SPAM and moved to the designated spamREF
SPAM Folder. When this button is clicked, further checks are run and if a Top Level Domain (TLD) that is not curently being used by the toolbar to detect SPAM email is detected, a message box asking for confirmation to add the detected TLD to the list used for normal scanning will be displayed. Typically, the answer to this question is "Yes". However, there might be instances when you would not add the TLD to your list. Further detail of this can be found in the User Manual (in development).
Other than this, clicking the "Is SPAM" button will simply move the e-mail to your SPAM folder and not identify any items. To avoid a similar e-mail getting through into your Inbox in the future you would need to identify what is "spammy" about the email and take the appropriate action e.g. add a BodyItem to your list, add the domain to Blacklisted domains etc.
The Not SPAM Button
We recommend that to begin with users regularly review the SPAM folder to ensure that legitimate emails have not been caught accidently. These false positives will diminish rapidly. This button allows the highlighted mail message that had been considered SPAM by one of the
existing SPAM checks to be moved back from the SPAM folder to the Inbox. In addition, the sender is added to the
contact list called "Contacts" and appears as a "spamREF Added Contact". It would be a good idea to edit this entry and provide the Contact's real name. Once in "Contacts" future mail messages
from the sender will not be checked for SPAM if the "Ignore emails from senders in my address book" setting is set (default).
Using your Contacts folder properly is very important for the success of spamREF as a tool.
The Statistics Button
This button displays the totals for the number of SPAM emails caught by the toolbar
in the following timeframes.
- Daily
- Weekly
- Monthly
- Yearly
- Epoch (since the dawn of time, or in this case since the toolbar was
installed)
Clicking this button will open the Preferences window and show a breakdown of the statistics by approach e.g. Auto Body Items, Blacklisted Domains etc.
The Extras Button
This button is a dropdown menu for Extra functions. These are:
- Scan Selected Items: If you receive a new type of SPAM email that is not detected as SPAM by any of the existing checks and add, for example, a BodyItem from that mail to your Body Itesm, this tool then allows you to highlight emails in your Inbox and to scan them all to see if they meet the new criterion that you have defined.
- Diagnose Selected Email: If you are wondering why an email keeps getting marked as SPAM and moved to your SPAM Folder highlighting the email and clicking this options allows you to see the checks that are being performed on the email and which one is 'flagging' the email as SPAM.
- Help: Clicking on Help will take you to the Help with spamREF page of the spamREF website.
- Check for Updates: Clicking on this will take you to the spamREF version page. It will tell you which version of spamREF you are running and which is the latest version
- About spamREF: clicking on this will bring up a window showing you the version of spamREF you are running, your User ID and Licence Key.
